What to Know Before You Arrive:
All residents who sign up to speak will be heard. The Planning and Zoning Commission is committed to providing every citizen an opportunity to address the Commission members on agenda items.
The speaker sign-up table will be located in the Town Hall lobby. Those wishing to speak must register at this table prior to the start of the item they wish to address.
If you do not intend to speak, please proceed directly to the metal detector line for expedited entry.
Each person may sign up once and may only speak once per agenda item. Time may not be yielded to another speaker.
Comments must remain focused on the specific agenda item for which the speaker is registered. Discussion of other topics during that time will not be allowed.
If the meeting room reaches capacity, attendees who have already spoken are encouraged to exit to allow others to participate.
Overflow viewing areas will be available in the Town Hall lobby and outside the front entrance (weather permitting). These areas will be equipped with speakers so the meeting can be heard clearly.
The meeting will also be live streamed on the Double Oak YouTube Channel for those wishing to view remotely.
Please note: Due to fire code restrictions, the lobby overflow area will be standing room only, and a clear path to all exits and restrooms must be maintained at all times.
Safety Protocols
To ensure a safe and orderly environment for all attendees, the Town of Double Oak is implementing enhanced security procedures under the direction of Police Chief Daniel Miller and in coordination with the Denton County Fire Marshal:
All attendees will be required to pass through a metal detector upon entry.
Bag inspections will occur prior to or during screening at the metal detectors.
Please secure any prohibited items in your vehicle prior to entry.
If you are in possession of a firearm, you must present a valid License to Carry (LTC) to enter with it.
Firearms will not be allowed inside the facility without a valid LTC.
If you are carrying concealed without an LTC, you will be asked to return the firearm to your vehicle before entering.
Occupancy Limits (per Denton County Fire Marshal):
Cook-Wilkinson Community Room: 85 people
Town Hall Lobby Overflow Area: 20 people (standing room only)
Decorum Expectations
To maintain a respectful and productive meeting, the following rules of conduct will be enforced:
Only one person may speak at a time. Interruptions, crosstalk, and side conversations are not permitted.
Individuals may speak only when recognized by the Presiding Officer.
Remarks must remain on-topic and specific to the agenda item being discussed.
Speakers must address the Planning and Zoning Commission members directly, not the audience or other attendees.
All speakers must begin by stating their full name and home address, then step close to the microphone and speak slightly louder than normal to ensure clear audio for those in the room and watching online.
Any outburst or unwelcome audience participation will not be tolerated.
Disruptive behavior, profanity, or personal attacks will not be tolerated.
All attendees must remain seated unless speaking at the lectern. Standing inside the Cook-Wilkinson Room is not permitted and may result in removal in accordance with fire code and safety protocols.
Violations of these rules may result in a warning or removal from the meeting. Continued disruptions may lead to further action, including removal from Town Hall premises.
